How to Choose School ERP Software in India: A 12-Point Checklist
Choosing school ERP software is a decision you will live with for years. Your staff will use it every day, your parents will see it, and your records will sit inside it. A wrong choice costs money and also months of rework. This checklist helps school owners and principals compare vendors fairly, whether you run one school or several branches.
1. Does it cover the modules you need today?
List what you need before you speak to any vendor: admissions, fees, attendance, exams, timetable, transport, library, staff and parent communication. Check that each module is part of the product and not a separate paid add-on. Ask which modules you can start with and add later.
2. Does it fit your board and report card format?
CBSE, ICSE and state boards use different grading and report card patterns. Ask the vendor to show a report card for your board and your class structure. If you need a custom format, ask what it costs and how long it takes.
3. Is the fee module flexible enough?
Fee collection is where most schools feel the pain first. Test with your real fee structure: class-wise fees, instalments, transport fees, sibling concessions, late fines and advance payments. Check that receipts follow your numbering and that online payment through UPI or cards is supported.
4. Is there a good mobile app for parents and teachers?
Parents now expect to see attendance, homework, fee dues and notices on their phone. Ask for a demo on an actual phone, not only on a computer. Find out whether the app is under your school’s name or the vendor’s, and whether it works on both Android and iPhone.
5. How easy is it for your staff to use?
A system that only the IT person understands will fail. Ask a teacher and an accounts clerk to try the demo for ten minutes without help. If they get stuck, daily use will be hard.
6. How is your data protected and backed up?
Student records are sensitive. Ask where the data is stored, who can access it, how often it is backed up and how quickly it can be restored. Ask how the vendor handles your obligations under India’s Digital Personal Data Protection Act, 2023. A vendor who cannot answer clearly is a risk.
7. Who owns the data, and can you take it with you?
Your student and fee records belong to the school. Make sure the contract says so, and that you can export everything in a standard format such as Excel if you leave.
8. What will it really cost?
Compare the full cost, not only the headline price. Ask about:
- Setup and data import charges
- Price per student per year, or a fixed yearly fee
- Charges for SMS, WhatsApp messages and the mobile app
- Charges for extra modules, extra branches and extra users
- Training, upgrades and support after the first year
Ask for a written quotation that lists everything. Prices vary widely with school size and modules, so compare at least three quotes for the same requirements.
9. What training and support will you get?
A good vendor trains your staff, helps import your data and answers questions quickly. Ask about support hours, how you reach the team (phone, WhatsApp, email), and whether support is in a language your staff are comfortable with. Call the support number once during your evaluation to see who answers.
10. Can it grow with your school?
If you plan more branches, a larger intake or new classes, check that the system handles multiple branches under one login and that performance stays good with more students.
11. Can you talk to schools already using it?
Ask for two or three reference schools of a similar size and board. Ask them how long setup took, how the support has been, and what they would change. This tells you more than any brochure.
12. Can you try it before you pay?
Ask for a demo with your own data, or a pilot with one class or one module. A vendor who is confident in the product will agree.
A simple way to compare vendors
Give each vendor a score from 1 to 5 on the twelve points and add them up. Weight the points that matter most to you, usually fees, mobile app, data safety and support. Do not pick on price alone. A cheap system that your staff avoid costs more in the end.
Red flags to watch for
- No live demo, only slides and videos
- Pressure to pay a large amount upfront
- Unclear answers about data ownership and backups
- No reference customers
- Support promised but no named person or number

Frequently asked questions
What is the difference between school management software and school ERP?
The terms are used interchangeably. School ERP usually suggests a system that connects every department, including finance, staff and transport.
How much does school ERP software cost in India?
It varies with the size of the school and the modules. Ask for a written quotation covering setup, yearly fees and message charges, and compare at least three.
Should I choose cloud-based or on-premise software?
Most schools prefer cloud-based software because the vendor handles servers and backups and staff can work from anywhere.
How long does implementation take?
It depends on the amount of data and the number of modules. Ask for a written timeline.
